DOWNTIME ALERT

The K20 border routers for both NWRDC and WSIPC (2 separate routers) will be replaced Monday, August 30 at 6:00pm. As the cables are being swapped between the old routers to the new, users may experience a very short outage.

The Fiscal Support Team may be contacted at 425-349-6560 on Monday through Friday, from 8:00 AM to 5:00 PM, with the exception of the following times:

Thursdays       Team Meeting      8:00-9:30 AM 

NOTE:  If you have an emergency and do not wish to leave a message in the voice mail queue, please contact the WSIPC Operator at (425)349-6600, and she will either contact a Coordinator for you or send us an Emergency e-mail message. We ask that you use this process for true emergencies (e.g., you cannot move forward with your work).

SEPTEMBER PAYROLL WEEKEND SUPPORT

NWRDC provides weekend support during the month of September to assist clients with the September Payroll preparations.  On the dates listed below, you may leave messages in the support queue at 425-349-6560 to request assistance between 9 AM and 4 PM.  Only messages in the queue will be checked on the weekends, NOT personal lines or emails.  When leaving a message, please provide the number at which you may be reached for a return call.

· September 12th ***Note that September 11th is a scheduled Release Downtime day***

WESPaC HR TIPS

*** Important for Workers Compensation Reporting ***

· All employees who are paid on a contract must have an active retirement member profile for proper worker’s compensation (L&I) reporting. For information on how to report a non-eligible employee or retiree, please refer to the Department of Retirement Systems reporting charts. These may be found at www.drs.wa.gov.

· To alleviate inaccurate worker’s compensation reporting, use a 615 L&I pay code on any contract pay with zero hours per day. Do not apply L&I deductions/benefits to 615 pay records.

WESPaC FISCAL TIPS

 

· To Help Avoid Negative Encumbrances

In WESPaC, a negative encumbrance will occur when Accounts Payable invoices and pays in a different fiscal year than the PO it is referencing. An AP parameter setting is available to activate an alert and avoid this situation.

FM>AP>IN> ?Options > Add Invoice Parameters. Select Yes - Check PO year against invoice fiscal year. Click OK

· Want to stop all users from entering requisitions in the current year?

There is a checkbox in System Administration FM Config that, when unchecked, prevents entry of requisitions/POs in the current year. In August, it may occasionally be unchecked to prevent users from entering requisitions/POs in the current year. But in September, before the Year End process is complete and the year has been rolled, un-checking this box prevents users from entering new requisitions/POs in the year to yet be closed.

2010-2011 DOWNTIME RELEASE SCHEDULE 

The Release Downtime Schedule is revised due to a change in our software delivery schedule. This impacts when the DF Releases will be installed. The DFs will be installed in February and July of 2011, instead of the originally scheduled March and August 2011 timeframes.

Release Down Time is from 3am to 9pm on each designated Saturday. However, most releases will be complete before noon on Saturday. Data Centers will be returned to production as soon as the release is complete. The exception to this will be the DF releases that occur twice a year. The Release Down Time for a DF will be from 3am Saturday until 9am Sunday.

NEW CALL TRACKING SYSTEM

NWRDC has just implemented a new call tracking system.  We ask for your patience as we learn and implement this new system.  You may experience a slight delay as we gather your name and district information while starting a new “ticket” when you call in.  For issues that are not immediately resolved you will be provided with a “ticket number”.  Please track your ticket numbers as they will help us to quickly look up the details of your issue during follow up calls.  We will also be able to help you best if you let us know if your issue is one that you have called about previously.
