Tip of the Week
Once Year End Processes are run on an entity that has students in grades 9-12, the next CEDARS pull will include 2010 Grade History data for students. We have noticed some common errors that are appearing in CEDARS when these files are processed at OSPI:Invalid Grades – These are typically Incomplete (I) grades. The list of valid grades is in the Cedars manual for Data element H10 (page 59/60). Run the Selected Grades report looking for the Invalid Grades in the Final Grading Periods for the entire year (usually S1 and S2) [Web Access / Student Management / Office / Grading / Reports / Grade Information/Analysis / Selected Grades]. To mass change these grades, use the Mass Change Selected Grade Marks utility [Web Access / Student Management / Office / Grading / Product Setup / Utilities]
Tech Prep Courses – Students are marked as Tech Prep Completers but courses are not marked as Tech Prep. Run the Course Report by Course (User Defined) to see if courses are marked or not. Update the Tech Prep field as appropriate in the 2010 (and 2011 for this coming year) in the Washington State Details section of the Course Master in Web Access [Web Access / Student Management / Office / Current Scheduling / Build Course Master / Build Course Master / Edit Course].
AP/IB Courses – AP/IB State Course Codes are being used either in the Curriculum Master or Course Master that reflect the course is an AP or IB course, but the course is not marked appropriately as an AP or IB course. Update the IB checkbox and/or AP/IB code field as appropriate in the 2010 (and 2011 for this coming year) in the Washington State Details section of the Course Master in Web Access [Web Access / Student Management / Office / Current Scheduling / Build Course Master / Build Course Master / Edit Course]. The current list of AP/IB codes is listed in the CEDARS Manual in Appendix Q.
Districts that have updated their Vocational Information but have not rolled their entities to 2011 will not have a Grade History file submitted in CEDARS until the Friday after they run the Yearend Process (this is the file that contains the Vocational Completer information). The CEDARS pull after YE rollup will contain the Grade History file which will then allow districts to preview their P-210 Vocational information in EDS.

2009-10 WSIPC Standard Release Downtime Schedule – the
Student Information System IS NOT available during these times.
Release Down Time is from 3am to 9pm on each designated Saturday.
However, most
releases will be complete before noon on Saturday. Data Centers will be
returned to
production as soon as the release is complete. The exception to this will be
the annual DF
releases. The Release Down Time for a DF will be from 3am Saturday
until 9am Sunday.

The Release Downtime Schedule is revised due to a change in our software
delivery schedule. This impacts when the DF Releases will be installed. The DFs
will be installed in February and July of 2011, instead of the originally
scheduled March and August 2011 timeframes.
Release Down Time is from 3am to 9pm on each designated Saturday. However, most
releases will be complete before noon on Saturday. Data Centers will be returned
to production as soon as the release is complete.
The exception to this will be the DF releases that occur twice a year. The
Release Down Time for a DF will be from 3am Saturday until 9am Sunday.
